Start with the day ahead
Before arrivals begin, review expected check-ins, departures, and rooms awaiting cleaning. A shared list helps everyone understand what needs attention first. Keep confirmed bookings separate from enquiries so an unconfirmed request does not look like a room assignment.
Make the handover easy to follow
Record open tasks with an owner and a next step. “Guest requested an extra pillow; housekeeping to deliver” is more useful than “Room 204 pending.” Avoid writing sensitive guest details in a shared handover notebook.
Close the loop on room readiness
A vacant room may still need cleaning or inspection. Use distinct statuses for vacant, occupied, cleaning, and ready. Confirm readiness with the responsible team before assigning an arriving guest.
Finish with a short review
At the end of a shift, check unresolved guest requests and booking changes. A few minutes of structured handover can make the next shift feel more manageable.
Start with a clear routine, make responsibilities visible, and refine the process with your team.
