Give every bed its own identity
Use a consistent label such as A-08 / Bed 2. Room-level records alone can hide availability in shared spaces. Keep each bed linked to its room and property.
Track the dates that matter
Record an expected start date and end date for each allocation. Review overlaps before confirming a move-in. Keep provisional allocations visibly distinct from confirmed stays.
Prepare for the next resident
A move-out does not automatically make a bed ready. Check cleaning, repairs, and any items to be replaced before marking it available.
Review changes as a team
When a resident moves rooms, update the allocation and relevant operational records together. A consistent process helps keep room lists, resident records, and availability aligned.
Start with a clear routine, make responsibilities visible, and refine the process with your team.
